Team Tournament Travel Planner

Overview

In sports and esports, a tournament weekend is a travel problem as much as a competitive one. A team manager, an esports general manager or a youth tournament coordinator has to move a squad and its staff, room minors safely, fit travel around match times that depend on results, and work out who pays for what. The Team Tournament Travel Planner concept is designed to put all of that on one GGNomad group trip.

Those trips are usually pieced together from a roster spreadsheet, a separate booking for each leg, a group chat and a list of who still owes money. Match times change, a final may or may not happen, and consent forms for younger players go missing. The concept treats the squad, the schedule and the money as parts of the same plan.

The itinerary runs from Friday to Sunday: a booked rail leg out, a confirmed check-in for four rooms, a hardware check at the arena, the semi-final, a tentative final if the team qualifies with a late checkout on hold, and a booked rail leg home. A Rooms panel puts the two under-18 players in one room, with the chaperone's room adjoining it. A Cost split card divides the trip total between an approved club travel budget, a pending sponsor contribution and an equal share per player, showing how many players have paid and how many owe, with a Settle up button. A Tasks card counts completed tasks and lists guardian consent forms, with one still outstanding, alongside a finished kit and peripherals list and dietary notes.

The trip is designed to start from an AthleteBridge squad, so players and staff arrive already listed, while chaperones are added in the trip itself. Bracket and fixture times are designed to come from AthleteBridge too, and the semi-final on the itinerary is labeled as coming from the AthleteBridge bracket. Within GGNomad, the planner is designed to extend the group trip, with its shared itinerary, rooms, travel legs and cost split, to fit a competing team.

How it works

  1. Start the trip from the AthleteBridge squad so players and staff are already listed.
  2. Add chaperones in the trip and check which travelers are flagged as under 18.
  3. Check the bracket times on the itinerary, then book the travel legs and the stay around them.
  4. Assign rooms so minors room together with a chaperone next door.
  5. Hold tentative options, such as a final and a late checkout, for days that depend on results.
  6. Split the cost between the club budget, a sponsor and each player, then settle up.
  7. Work through the task list until guardian consent forms and kit are complete.
