Hotel Room Block Pickup Tracker

Track group room blocks night by night against cutoff and attrition, matched to registrations, with releases a person approves.

Overview

In a hotel, a group room block is a promise in both directions. The property holds rooms for a conference, a wedding or a festival crew until a cutoff date, and the group commits to filling an agreed number of them, the attrition line, or paying for the shortfall. The Hotel Room Block Pickup Tracker concept is designed for the sales and revenue people who manage those promises, and equally for event organizers and planners, who need to know whether the delegates who asked for a room actually booked one.

That reconciliation usually runs on registration exports and emailed rooming lists. Pickup is checked by hand, a delegate who requested a room but never booked slips through, and rooms held past cutoff sit empty on nights the property could have sold. The concept is designed to extend the availability calendar envisioned for GGNomad's host tools with group blocks: rooms held per night for a group, with a cutoff date and an attrition line.

Two other Burdenoff products feed the tracker by design. The conference block is designed to receive its registrations from EventfullyManaged, including how many delegates registered and how many requested a room, so the tracker can match those requests against reservations. Pickup is designed to be synced from the property's own system by FluidGrids, alongside bookings made on GGNomad, with a banner showing when it last ran. The tracker is designed to propose a release, never to make one itself: a person approves it or extends the hold, and released rooms return to general inventory for the nights they were held.

  1. Open Group Room Blocks under Hospitality to see the month's blocks for the property.
  2. Check rooms blocked, picked up, pickup percentage and cutoff in the headline cards.
  3. Find the block that is below its attrition line, where its row carries registration and room-request counts from EventfullyManaged.
  4. Compare blocked and picked-up rooms night by night, with rising festival weekend demand shaded on the chart.
  5. Review the rooming list for delegates who requested a room but have not booked one.
  6. Read the release proposal's evidence, then approve the release or extend the courtesy hold.
